Installation
|
- Insufficient space allowed for access to machine
(eg. no room to open doors or access collator ).
- Photocopier incorrectly installed (eg. not stable or level on base).

- Check adequate space has been allowed for access during operation and maintenance.
- Have photocopier installed, tested and demonstrated before accepting delivery.
|
|
|
Staff training
|
- Employees are unable to use advanced functions correctly causing malfunctions.
- Technical staff are insufficiently familiar with photocopier to maintain it properly.
|
- Ensure that installer provides operator training for employees following installation.
- Check that instruction manual is provided and located adjacent to the photocopier.
- Arrange training for technical staff to be responsible for maintaining photocopier and providing assistance to employees.

|
Paper jams
|
- Employees poke fingers and other objects into photocopier in attempts to clear paper fragments.
- Using an unsuitable grade of copy paper.
|
- Ensure employees understand instructions for dealing correctly with paper jams.
- Place notice on/near photocopier with phone no. to call for assistance with re-setting machine.
- Check that copy paper used conforms with the machine manufacturers paper specifications.

Maintenance
|
- Exposure to photocopier chemicals and waste due to lack of timely servicing.
|
- Arrange contract for periodic cleaning and service in accordance with manufacturers instructions.
|
|
|
Toner contact
|
- Employees replace toner without following precautions for safe handling of chemicals.
- First aid officers not able to identify photocopier chemicals in order to give correct treatment to employees who have inhaled, swallowed or had extensive skin exposure to these.
|
- Employees should wear gloves when handling toner cartridges and copier waste containers.
- Where possible employees should call for technical staff to replace cartridges, toner.
- Technical staff should record details of chemicals used by photocopier (MSDSs) in case of emergency treatment being required.
